Statement of Duties 

According to standard office procedures, the Senior Clerk performs a variety of complex clerical duties requiring a moderate degree of decision making.  Primary responsibilities will entail: The processing of all medical invoices related to on-the- job injuries. This includes the inputting of all invoices into the MUNIS system for payment in a timely manner; any necessary correspondence and follow-up with doctors, medical facilities and utilization review company; the maintenance of accurate medical files; preparation of yearly injury letters.  Prepare for and attend the medical review panel. Exercises confidentiality when handling medical and/or personnel files.  The organization; tracking, invoicing and payment to firefighters for fire details as they occur.  Assist in answering the telephone; routing calls appropriately; take messages and assists callers when able.  Greet and assist the public with answering questions, obtaining signatures for permits, procurement of fire reports.  Setting up grants received by the Fire Department. Keep track of spending as well as preparing documents for opening and closing out grants.  Assists with paperwork; sorts and distributes mail.  Records sick, personal, vacation, injury and other leave into attendance book and computer database.  Serves as backup to the administrative assistant in the preparation of the weekly payroll; inputting of requisitions; bill rolls and distribution of letters and correspondence as required; ordering and maintaining inventory of office supplies; inputs and updates yearly vacation schedules. Perform other duties as assigned.

 

Requirements:

Recommended Minimum Qualifications

Must possess a High School Diploma or G.E.D.

Ability to type 30 error free words per minute.

Proficiency in Microsoft Office.

Proficiency in the use of the MUNIS system.

Attention to detail and accuracy.

Ability to recognize and maintain confidentiality of certain departmental issues.

Ability to provide routine answers to inquiries and/or refer calls to appropriate personnel.

Ability to pleasantly and efficiently communicate with the public in person and on the telephone.

Ability to learn working knowledge of the fire department.

 

Work Environment

The work environment involves everyday discomforts typical of offices with occasional exposure to outside elements. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant.

Physical Skills

Little or no physical demands are required to perform the work. Work effort principally involves sitting to perform work tasks, with intermittent periods of stooping, walking, and standing. There may also be some occasional lifting of objects such as books, office equipment and computer paper (up to 30 lbs.).

Motor Skills

Duties are largely mental rather than physical, but the job may occasionally require minimal motor skills for activities such as moving objects, operating a telephone system, computer and/or most other office equipment, typing and/or word processing, filing, and sorting.

Visual Skills

Visual demands include constantly reading documents in print and on the computer, for general understanding and for analytical purposes.
